OEM Beer Manufacturing Process

An OEM beer project moves through a sequence of commercial and technical approvals. The sequence matters: product and package decisions affect MOQ, artwork, material purchasing, production scheduling and quality checks. Buyers reduce delays when they use one controlled project brief and approve each stage before the next irreversible commitment.

Requirement Brief

Record target market, beer type, package, nominal volume, decoration, carton, estimated quantity, launch window and destination requirements. Separate confirmed requirements from ideas that still need feasibility review. The brief becomes the reference for quotations and change control.

Product and Specification

Select an available specification, adaptation or custom direction. Record sensory reference, declared parameters once verified, package compatibility and required claims. A sample should have an identifier and stated purpose so the buyer knows whether it represents style, packaging or final production reference.

Samples and Confirmation

Agree how samples will be shipped, evaluated and approved. Capture feedback in writing and translate it into a specification or approved reference. Sample quantity is not the same as production MOQ, and a stock sample should not automatically be treated as the final commercial product.

Packaging and Artwork

Confirm container, closure, label or print method, carton, coding area, barcode and shipping marks. Obtain factory templates before final design. The importer supplies and validates destination legal text; the factory checks technical fit and coordinates production files.

Quotation, MOQ and Approval Gate

Request a quotation tied to the final product-package combination, quantity and trade term. Identify material minimums, setup and exclusions. Production should start only after commercial terms, specification, artwork and required materials are approved.

Production, Quality and Shipment Handoff

Controls should cover agreed materials, production parameters, filling and closure, coding, label and carton accuracy and finished release. Review the document list and inspection needs before production. The supplier coordinates agreed export information while the importer manages local compliance and clearance.

Define the OEM Approval Gates

An OEM workflow should show which decisions are reversible and which release money or materials. Requirement, product, package, artwork, commercial approval, production and shipment are separate gates. Record the authorized approver, required evidence and deadline for each gate. Production should not begin while specification or artwork is still described as provisional.

Convert the Brief into a Technical Project Sheet

The project sheet should identify beer reference, declared parameters once confirmed, container, volume, closure, decoration, artwork versions, carton, coding, quantity tolerance, quality evidence and documents. Separate buyer requirements from factory proposals. Use one version number and keep an approval log.

Control Samples and Feedback

State whether each sample represents stock beer, sensory direction, packaging capability or final reference. Use a consistent evaluation form and consolidate buyer feedback. A sample approval should lead to a specification; informal statements such as “similar to this” are not adequate production instructions.

Manage Custom Packaging Procurement

Printed cans, labels, sleeves, cartons or special bottles may have minimums and lead times separate from beer production. Confirm artwork deadline, quantity tolerance, unused material treatment and storage. Do not release materials until the buyer has validated destination text and approved production files.

Confirm the Commercial Baseline

Attach the final quotation, quantity, Incoterm, payment milestones, setup, inspection, documents and exclusions to the project sheet. Define when lead time begins. If product, package or quantity changes, update the quotation and schedule rather than relying on the previous baseline.

Prepare Production and Line Clearance

Before filling, confirm material identification, current artwork, coding instructions, carton and SKU separation. Factory controls should prevent previous packaging versions from entering the line. Agree relevant evidence for filling, closure, coding, labels, cartons and finished release.

Coordinate Inspection and Documents

Define inspection scope, responsible party, timing and release authority before production. Build a destination-specific document matrix with draft deadlines and approval owners. Inspection and documents should be linked to the same product, package and quantity shown on the purchase order.

Review the First Order

After arrival, compare actual product, package, document accuracy, shipment condition and supplier communication with the approved baseline. Record corrective actions and update the specification before reorder. Change one controlled variable at a time where possible so results remain interpretable.

Assign every milestone to the buyer, factory, forwarder or adviser. Update the schedule after any approved change and communicate the new critical path to all parties.

Use Formal Change Control

Every requested change should identify the current baseline, proposed revision, reason, affected files, cost, material impact and schedule impact. Authorized buyer and factory contacts approve or reject it. Verbal discussion can start the review but should not release production.

When a change affects printed material or destination text, check whether existing stock becomes obsolete. Keep superseded artwork out of production folders and confirm the new version during line clearance.

Manage Deviations and Corrective Action

Agree how the factory reports a deviation in beer, packaging, quantity or timing. The report should describe containment, affected quantity, cause, proposed disposition and required buyer decision. Shipment should not proceed against an unresolved material deviation.

After corrective action, verify implementation using relevant evidence and update the process or specification. Repeated issues should influence inspection scope and supplier status.

Prepare the Reorder Pack

A reorder is not simply a repeat purchase order. Reconfirm product specification, artwork, importer details, carton, quantity, document matrix, inspection and shipping instructions. Check remaining buyer-specific materials and their usable version. Record changes since the previous shipment before releasing the next order.

Establish Project Governance and Communication

Identify one commercial and one technical decision owner for both buyer and factory. Use a shared action list showing task, owner, deadline, status and supporting file. Meeting notes should capture decisions, assumptions and open questions rather than only discussion. Consolidate buyer feedback before sending it to the factory so design, product and purchasing teams do not issue conflicting instructions.

Set a regular update frequency during artwork, material procurement, production and shipment. An update should state completed milestones, next actions, risks and required buyer decisions. Fast communication is useful only when it is accurate and connected to the approved project record.

Define the Production Release Checklist

Before production, confirm purchase order, final specification, approved sample reference, packaging bill, artwork versions, coding, carton, quantity, quality requirements, inspection, document matrix and payment condition. Every item should be marked approved, not applicable or pending. Pending critical items prevent release.

Have an authorized factory contact acknowledge the same checklist and confirm material readiness. This creates a clear boundary between development and commercial production and reduces disputes about which files controlled the order.

Close the Project After Shipment

Complete a final review covering quantity, inspection, documents, loading, arrival condition and open corrective actions. Archive the approved record under the shipment reference and update lessons for reorder. Close temporary files and superseded artwork so they cannot be reused accidentally.

OEM management approval: Before releasing each commercial order, confirm that purchasing, product, quality and logistics accept the same baseline. Record unresolved risks, contingency and the person authorized to stop production or shipment. If the destination, importer, specification, package or factory arrangement changes, reopen the affected approval gates. A repeat order should move faster because records are controlled, not because verification is skipped. Keep the signed release and final shipment review together for traceability.

Maintain a current contact list and escalation path for commercial, artwork, quality and logistics decisions. Review it before every order and whenever staff change. Clear ownership prevents urgent questions from bypassing the approved workflow or being answered by someone without authority.
